Overview

Under direction of the Director of Administration, the Deputy Director of Administration will manage, supervise and coordinate the activities and operations of the Administrative services division to include the Board of Directors, the Events Team, the Administrative Team and Facilities Team. The ideal candidate must be creative, flexible, and enjoy working within a dynamic, fast growing, and mission-focused non-profit organization.

What You'll Do

  • Manage and participate in the operations and activities of the Administrative Services departments to include the development and implementation of department goals, objectives and policies, recommending modifications for improvement, as appropriate
  • Lead, manage, coach and mentor individuals and/or Administrative Services Teams, setting a standard of excellence
  • Plan, manage and review the workloads of assigned staff; assign work activities and projects; review and evaluate work products, methods and procedures; meet with staff to identify and resolve problems
  • Manage a variety of special projects that often have significant cross-functional and/or organizational impact, following through to successful completion, often with tight deadlines
  • Serve as the point of contact for internal and external stakeholders; establish and maintain strong relationships crucial to the success of the organization by ensuring effective communication, collaboration and credibility
  • Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature; determine appropriate course of action, referral, or response
  • Provide support to the Board of Directors by organizing and managing logistics of committee and Board meetings
  • Other tasks and responsibilities as assigned

What You'll Need

  • Bachelor's degree in a Business Discipline or related field*
  • 6+ years of professional experience in a managerial position, preferably in a non-profit organization
  • 2+ years of professional experience leading, managing, coaching and/or mentoring individuals and/or teams
  • Experience coordinating and managing the workload for administrative support teams
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
  • Demonstrated proactive approach to problem-solving with strong decision-making capability and ability to work in a fast-paced environment
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Forward looking thinker, who has the ability to be effective independently and actively seeks opportunities and proposes solutions
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • Must be authorized to work in the United States

*Additional years of relevant experience or a combination of an Associate’s degree or equivalent and relevant experience may be substituted for the Bachelor’s degree.
